How Mobile Bartending Works for Private Events in Southern California
If you have never hired a mobile bartending service before, the process probably feels unclear. Most hosts have the same questions. What is included? When do I book? Who buys the alcohol? What happens on event day?
The ones who have hired a bartending service before often tell us their last experience felt disorganized. Communication dropped off after the deposit. They spent the morning of the event wondering whether anyone would actually show up.
We built our process to eliminate that uncertainty. From the moment you reach out, you know exactly what is happening, what comes next, and who to contact if anything changes. Every detail gets locked in well before event day. Nothing is left to chance.
The Five-Step Process
Here is how we take you from first conversation to final toast.
Step 1Tell Us About Your Celebration
Everything starts with a conversation. Fill out our inquiry form or call us at (714) 681-2996.
Share your event date, location, estimated guest count, and what you are celebrating. If you already have a vision, such as a favorite spirit, a color palette, or a theme, tell us that too. The more we know upfront, the more tailored your proposal will be.
Do not worry if you do not have every detail figured out. Many clients come to us with just a date and a guest count. We help shape the rest.
Response time: We respond to every inquiry within 24 hours. Most clients hear from us the same day. Working on a tight timeline? Call us directly. We have accommodated events booked two weeks out.
We Design a Custom Proposal
Based on your event details, we build a tailored proposal. It covers a custom cocktail menu designed around your taste, the recommended package and staffing level for your guest count, and a clear timeline for what happens between booking and event day.
This is not a generic price sheet. We design the cocktail menu specifically for your event. We consider your venue, the season, your guest demographic, and any dietary needs.
Want a signature cocktail named after the bride and groom? Done. Need a full non-alcoholic craft program? That is built into the plan. Visit our drink menu to see the kinds of drinks we create.
Revisions are expected and welcome. We refine until it feels exactly right.
What the proposal includes: Custom cocktail menu with descriptions. Recommended package tier. Bartender and barback staffing plan. Full list of what we provide, including glassware, ice, mixers, garnishes, tools, setup, and breakdown. Service timeline and investment summary.
Lock In Your Date
Happy with the proposal? A deposit secures your date on our calendar. Once it is locked, it is yours. No double-booking. No waitlists.
Between booking and event day, we stay in close contact. We finalize cocktail recipes, confirm setup logistics with your venue or coordinator, and nail down every detail.
If your guest count shifts or your theme evolves, we adjust. Our planning guide covers the most common questions that come up during this phase.
About two weeks before your event, we do a final walkthrough. Cocktail list, setup time, bar placement, number of bartenders, and any venue-specific requirements like proof of insurance.
Step 4We Show Up and Execute
On event day, our team arrives 60 to 90 minutes early. We unload, set up the bar, arrange glassware and garnishes, prep all ingredients, and make sure everything is polished and photo-ready before your first guest walks in.
You will not need to direct us, check on us, or troubleshoot anything. We have done this hundreds of times.
Our bartenders manage everything. Mixing drinks. Engaging with guests. Pacing the bar to keep lines short. Restocking supplies. Keeping the bar area clean.
When the last toast is done, we handle full breakdown and cleanup. Your venue is returned to the condition we found it.
What we bring: Full bar station. Professional-grade equipment. All glassware. Ice and coolers. Every mixer and garnish on your approved menu. Branded or custom menu signage. Napkins, straws, and bar tools. See our bar setup options for styling examples.
You Celebrate
This is the part that matters most. You get to be a guest at your own party.
You are not running to the kitchen for ice. You are not wondering whether the bartender remembered the cocktail list. You are not apologizing because the bar ran out of something.
You are raising a glass with the people you care about. Watching someone try your signature cocktail for the first time. Being present for the moments that make the night feel special.
That is the entire point of hiring us. Not just the drinks. The freedom to enjoy what you worked so hard to plan.
What to Expect Along the Way
What if my guest count changes after I book?
It happens all the time. Let us know as soon as your numbers shift, and we adjust staffing and supplies. A small fluctuation, around 10 to 15 guests either direction, usually does not change anything. Larger shifts may mean adding or removing a bartender, which we will discuss before making changes.
How does the deposit work?
A deposit secures your date and confirms your booking. The remaining balance is due before event day. We lay out the exact payment schedule in your proposal. No surprises.
How much communication should I expect?
As much or as little as you need. Some clients finalize early and check in once before the event. Others stay closely involved. We match your style. What we guarantee: you will never feel like you are chasing us.
Do I need to provide the alcohol?
Yes. You purchase the alcohol. We bring everything else. This keeps costs transparent and gives you full control over which spirits and wines are featured. We provide a detailed shopping list based on your finalized menu. See our FAQ and planning guide for more details.
What if I am not sure what cocktails to choose?
That is exactly what the proposal process is for. Many of our best menus started with a client saying, "I love tequila but I do not know what else." We take those cues and build something you will be thrilled to serve.
What happens on the day of my event?
You do not manage anything bar-related. Our team arrives early, sets up independently, and runs the entire service. After the event, we break down and clean up completely. You will not find a single lime wedge left behind.
